Job Description Summary
JOB PURPOSE
Based on the activities assigned by his/her superiors, the General Services and Real Estate Manager coordinates and supervises administrative management and general resources.
He/she supervises the management of the vehicle fleet within his/her area of responsibility.
He/she implements the travel policy within his/her area of responsibility.
Manages and develops the real estate portfolio within his/her scope.
He/she contributes to the conformity of the premises within his/her perimeter.
Job Description
SIGNIFICANT ACTIVITIES Contract management - Contribute to defining needs with specifiers (specifications, etc.) - Participate in the selection of suppliers, in collaboration with specifiers - Contribute to consultations and/or calls for tender, in collaboration with purchasing teams - Define and negotiate purchasing conditions (rates, volumes, lead times, CSR conditions, etc.) with suppliers - Negotiate and validate contracts with suppliers (framework agreements, partnerships, etc.), in collaboration with legal teams - Help resolve disputes (suppliers, service providers), in collaboration with internal stakeholders General services - Analyze supply needs and propose appropriate solutions - Supervise orders for supplies and services - Supervise invoice processing (allocations, etc.) and validate where necessary - Manage relations with service providers and ensure compliance with commitments contracts (renewal, termination, billing, etc.) Travelling - Contribute to the implementation of the travel policy and ensure its proper application Vehicle fleet - Supervise the administration and management of the vehicle fleet - Supervise and monitor vehicle compliance (manufacturer recalls, technical inspections, etc.) - Oversee the filing of claims with insurance brokers - Contribute to the preparation of the vehicle catalog (car policy) Real estate - Research, negotiate and set up new sites on the basis of specifications - Draw up and negotiate commercial leases in collaboration with legal teams - Define, coordinate and carry out construction or renovation work on premises (extensions, etc.) - Prioritize, plan and supervise premises maintenance operations - Contribute to the conformity of the premises within its perimeter Business management - Draw up capital expenditure budgets and ensure their implementation - Draw up budgets for its perimeter - Define and analyze monitoring and performance indicators for its scope and implement implement corrective actions where necessary - Contribute to the continuous improvement and performance of its scope (procedures, business tools, etc.) - BE a key contact for internal and external stakeholders Management - Ensure that resources (means, human resources, etc.) are correctly sized on the basis of activity, in collaboration with line management - Support and monitor the team(s) assigned to him/her (integration, skills development, etc.) - Participate in the application of HR policy (performance, compensation, etc.) by collaboration with Human Resources teams - Manage, monitor and control the working hours and absences of the team(s) assigned to IT (hours worked, vacations, calendar, etc.), using business tools where necessary RESPONSIBILITIES AND SCOPE FOR ACTION - Guarantees the implementation of contracts within its scope - Ensure fleet compliance - Ensure the management and development of the real estate portfolio - Contribute to the conformity of the premises - BE a privileged contact with internal and external stakeholders - Support and ensure the performance of your team and scope - Know how to apply and enforce health and safety rules (personal protective equipment, etc.) - Know, apply and enforce internal and external compliance procedures and rules PROFESSIONAL KNOWLEDGE DIPLOMA(S) AND/OR EXPERIENCE(S) Bac +3 to Bac +5 level in administration or management and/or 5 years' experience preferred significant experience SPECIFIC KNOWLEDGE(S) Technical skill(s) - In-depth knowledge of general services - General real estate knowledge - General knowledge of IT tools and information systems - General knowledge of health, safety and environmental regulations - General knowledge of management Intermediate level in English (B1) Behavioral skill(s) - Interpersonal skills - Analytical skills - Responsiveness - Adaptability - Rigor
